Position Overview
The Event Coordinator at Neftaly plays a vital administrative and strategic role in ensuring that all departments contributing to resource mobilization are effectively aligned, informed, and coordinated in their data reporting efforts. This role is responsible for managing the cross-departmental collection of performance metrics, program outcomes, and utilization reports—especially in preparation for internal planning sessions, external stakeholder events, donor presentations, and quarterly reviews.
Working under the direction of the Sustainability Program Manager or Head of Strategic Partnerships, the Event Coordinator ensures that Neftaly maintains a high level of transparency, accountability, and accuracy in reporting how mobilized resources are used and what impact they achieve.
Key Responsibilities
1. Cross-Functional Collaboration and Communication
- Serve as the primary liaison between departments such as Finance, HR, Sustainability, Partnerships, Program Management, and Communications for all resource mobilization reporting activities.
- Schedule and lead coordination meetings to align timelines, clarify data requirements, and track submission progress.
- Create a communication framework to ensure regular updates, reminders, and support across all units.
2. Data Collection Planning and Scheduling
- Develop a centralized timeline and calendar for data submission ahead of major events, presentations, or reporting deadlines.
- Create and distribute data collection templates and reporting formats to ensure consistency across departments.
- Provide clear guidance on what specific metrics, qualitative outcomes, and documentation are needed from each team.
3. Compilation and Quality Review
- Receive, organize, and review all submitted data to ensure it is complete, accurate, and aligned with organizational goals.
- Work with relevant departments to clarify inconsistencies or address missing information before final compilation.
- Collaborate with Neftaly’s Data Analyst(s) and Program Managers to validate and summarize findings.
4. Reporting Support and Event Readiness
- Prepare summary documents, visual reports, and presentation materials based on collected data for:
