    1. Delayed or Deleted Report Approvals
      • Linah Ralepelle reported that some team members do not approve reports in time, and in some cases, previously approved work is deleted.
    2. Incomplete or Delayed Submission of Reports
      • Andries Macuacua noted that team members sometimes leave the workplace without approving reports, causing delays in processing.
    3. System Limitations
      • Andries Macuacua highlighted that his team’s Vision platform has not been upgraded, which hinders effective report management.
    4. Non-approval of Meeting Minutes
      • Daniel Makano raised that NeftalyCDR does not approve meeting minutes promptly, affecting follow-up actions.

    Meeting Purpose

    To review course bookings, approvals, certification processes, and coordination between Development and Education departments.


    Agenda & Discussions

    1. Handover of Bookings (21 January 2026)

    • The Development Department officially handed over all course bookings to Education on 21 January 2026.
    • This handover marked the start of Education managing approvals, scheduling, and learner coordination.

    2. NeftalyCDR Request to Education

    • NeftalyCDR requested Education to initiate approval processes for all bookings in line with Neftaly policies and procedures.

    3. Approval Challenges & Solutions

    • It was noted that Neftaly currently does not have Marketing Royalty authority to approve bookings, creating a delay in processing.
    • Resolution:
      • Ntshuxeko Shihangu advised that Jeffry Tapina should submit the booking approval requests.
      • If the requests do not go through, NeftalyCDR will escalate the request to NeftalyCER for approval.
      • All parties reaffirmed commitment to following organisational policies.

    4. Communication & Documentation

    • Linah Ralepelle instructed that after the meeting, the minutes must be shared with the Neftaly Chief Monitoring Officer.
    • Ntshuxeko Shihangu confirmed that she has sent the bookings system link to Jeffry Tapina for access and processing.

    5. Monthly Submissions & Reporting

    • It was agreed that every month, both NeftalyCDR and NeftalyCHAR must ensure submission of:
      • Certificates
      • Client lists
      • Bookings and orders

    This will improve compliance, monitoring, and reporting across departments.

    6. Certificates for 2025 Learners

    • Ntshuxeko Shihangu suggested that NeftalyCHAR prepare all certificates for 2025 (January – December).
    • Development will then contact previous students to confirm receipt of their certificates.
    • Development will create a checklist of:
      • Students who have received certificates
      • Students who have completed courses but not yet received certificates

    7. SAQA Accreditation & Course Validity

    • It was agreed that Development and Education departments will hold a joint meeting to:
      • Review SAQA accreditation expiry dates for all courses
      • Ensure compliance and timely renewals

    8. 2026 Classroom Operations & Timetable

    • Education Department will develop a 2026 classroom timetable and operational plan.
    • This will guide learner intake, facilitator schedules, and course delivery structures.

    9. Economic Sustainability & Donations

    • Both Development and Education departments agreed to collaborate on:
      • Economic sustainability strategies
      • Donation mobilisation plans
    • It was resolved that only Chiefs and Managers will attend these strategic planning meetings.
