Objective:
To provide sponsors with a dedicated, knowledgeable, and responsive liaison who facilitates seamless communication, coordinates all sponsor-related activities, and ensures their needs are fully met from initial planning through post-event wrap-up.
1. Initial Engagement and Onboarding
Sponsor Welcome and Orientation
- Act as the first official Neftaly representative to greet sponsors upon agreement to participate.
- Provide an overview of the festival schedule, key contacts, and communication protocols.
- Deliver detailed onboarding materials, including timelines, requirements, and guidelines.
Requirement Gathering
- Conduct thorough discussions to understand each sponsor’s goals, activation plans, branding needs, and logistical expectations.
- Document sponsor specifications to guide internal coordination.
2. Ongoing Communication and Coordination
Centralized Communication Hub
- Serve as the single point of contact for all sponsor inquiries, requests, and updates.
- Manage and respond to emails, calls, and meetings in a timely and professional manner.
- Ensure sponsors receive consistent, clear, and up-to-date information about the festival’s progress, deadlines, and any changes.
Cross-Department Liaison
- Coordinate with Neftaly’s internal teams (logistics, marketing, operations, digital media) to align on sponsor deliverables.
- Relay sponsor feedback and concerns to relevant departments, ensuring prompt resolution.
3. Logistics and Activation Support
Activation Planning Assistance
- Guide sponsors through booth setup, signage placement, and activity scheduling.
- Arrange site visits or walkthroughs for sponsors to familiarize them with the venue and facilities.
Issue Resolution
- Proactively identify potential challenges related to sponsor activations or logistics.
- Provide immediate support and solutions to resolve on-site or operational issues during setup and throughout the event.
4. Festival Execution Phase
On-Site Presence
- Be physically or virtually available during festival days to support sponsors, answer questions, and facilitate communication.
- Monitor sponsor activations to ensure compliance with agreed-upon plans and standards.
Sponsor Experience Enhancement
- Coordinate opportunities for sponsors to participate in official announcements, media opportunities, or special event moments.
- Gather real-time feedback and relay it to the Neftaly management team for continuous improvement.
5. Post-Event Follow-Up
Debrief and Reporting
- Organize debrief meetings with sponsors to review outcomes, successes, and areas for improvement.
- Ensure timely delivery of sponsor performance reports and documentation.
Relationship Management
- Maintain ongoing communication post-event to nurture sponsor relationships and discuss future collaboration opportunities.
- Capture sponsor testimonials and feedback for festival promotion and enhancement.
