Activities and Responsibilities

1. Develop Monthly Monitoring Plan

Activities:

  • Review project objectives and expected outcomes
  • Define monthly performance indicators (KPIs)
  • Establish baseline and target values
  • Develop data collection tools (attendance registers, surveys, tracking sheets)
  • Set reporting timelines

Responsibilities:

  • Monitoring & Evaluation (M&E) Officer: Develop monitoring framework and tools
  • Project Manager: Approve indicators and targets
  • Program Coordinator: Ensure indicators align with activities

2. Data Collection and Verification

Activities:

  • Collect data on completed activities and outputs
  • Record participant attendance and engagement
  • Gather feedback from beneficiaries and stakeholders
  • Verify accuracy of collected data
  • Maintain organized documentation

Responsibilities:

  • Team Leaders: Collect and submit activity data
  • M&E Officer: Verify and validate data
  • Administrative Officer: Store and file documentation
  • Project Manager: Ensure data integrity

3. Progress Tracking and Performance Analysis

Activities:

  • Compare actual results against monthly targets
  • Identify performance gaps and delays
  • Analyze causes of underperformance or success
  • Track financial expenditure against outputs

Responsibilities:

  • M&E Officer: Conduct performance analysis
  • Finance Officer: Provide expenditure reports
  • Project Manager: Review progress and take corrective action
  • Team Leaders: Provide explanations for variances

4. Reporting and Communication

Activities:

  • Prepare monthly M&E report
  • Highlight achievements and completed milestones
  • Document challenges and lessons learned
  • Share findings with management and stakeholders
  • Present progress during review meetings

Responsibilities:

  • M&E Officer: Compile and submit monthly report
  • Project Manager: Review and present findings
  • Executive Management / Board: Provide oversight
  • Communications Officer: Share approved reports externally (if required)

5. Evaluation of Project Outcomes

Activities:

  • Assess whether monthly objectives were achieved
  • Evaluate impact on beneficiaries
  • Measure outcome indicators (skills gained, behavior change, service improvement, etc.)
  • Conduct beneficiary satisfaction assessments
  • Recommend improvements for future implementation

Responsibilities:

  • M&E Officer: Lead outcome evaluation process
  • Project Manager: Approve evaluation findings
  • Program Coordinator: Implement recommended improvements
  • Management Team: Review and guide strategic adjustments

6. Continuous Improvement and Learning

Activities:

  • Hold monthly reflection and learning sessions
